Board Roles & Duties

The following contain both Maine-specific expectations and national expectations:

All Board Members

  • Attend and participate in MEACDA monthly meetings
    • In the event that one can not attend the meeting, review minutes within 1 week of meeting
  • Respond promptly to communications, especially email approval votes
  • Attend Fall Conference and Spring All-Member Luncheon
  • Collaborate on creative planning and problem solving for MEACDA Board matters

Repertoire & Resources Chairs

  • The R&R Policy and Procedures Guide-revised June 2023
  • Participate in planning for events related to specific R&R areas (festivals, conferences, etc.)
  • Complete a “Monthly Repertoire Picks” to share with membership for your designated month
  • Stay up to date with current best practices for your specialty area and share with membership when appropriate (through newsletter, website, social media, etc.)
  • Maintain communication with directors in your field to gain understanding of current needs in the state
  • State, region, and national R&R coordinators and chairs submit an online annual report – Due June 1

Diversity, Equity, Inclusion, & Belonging Chair

  • Advocate for MEACDA’s DEIB statement and mission and ensure initiatives are present throughout MEACDA events and offerings
  • Continuously explore best practices in the choral field for promoting DEIB concepts and participate in problem solving where improvements are needed
  • Maintain a voice in festival and event planning to ensure our actions are aligned with our mission

Treasurer

  • Treasurer Handbook (PDF)

Secretary

  • Record clear meeting minutes for all monthly MEACDA Board meetings, including a list of clear Action Items resulting from the meeting
  • Send link to minutes & re-cap of Action Items to Board Members within 48 hours of each monthly meeting
  • Collaborate with President to assembly monthly newsletter

Historian

  • Maintain access to accurate records and advocate for their organization within MEACDA digital spaces
  • Develop and maintain relationships with former leadership and membership, assist in updating contact information
  • Check records for gaps
  • Collect and organize past programs
  • Complete “Resolution of Condolence” when needed
    • ACDA has launched a Resolution of Condolence initiative to honor deceased members and support their families and colleagues during times of loss. When notified, ACDA will prepare a personalized, framed resolution signed by leadership, offering comfort and remembrance to the bereaved. State leaders are encouraged to report member deaths using the Condolence Notification Form or by emailing . This simple act helps ACDA acknowledge and honor our community’s losses with care and compassion. Please consider sharing this initiative with your members and encouraging its use to support those grieving within your state.
    • To review members who have been reported in your state, check your ACDA <your state> Reports folder and look for the In Memoriam – Qtrly Reports folder.

Collegiate Student Activities Chair

  • Maintain updated list of active collegiate MEACDA organizations on Maine campuses
  • Promote the development and expansion of collegiate MEACDA organizations
  • Facilitate the collaboration and participation of collegiate MEACDA organizations

Professional Development Chair

  • Serve on the Fall Conference planning committeee
  • Help develop and maintain online Professional Development resource
  • Keep track of professional development hours for events and send out certificates to participants
  • Determine and advocate for current PD needs in the state

Engagement & Outreach Chair(s)

  • Coordinate with Membership Chair on engaging current members
  • Be a presence at state-wide events and beyond
    • Table presence at vendor setups like MMEA All State, other state conferences, etc.
  • Develop materials for facilitating community-based events sponsored by MEACDA (Community Sings, Beer Choirs, Caroling, etc.)
  • Set goals for intercultural and intergenerational development through community choral events
